Systems & Workflow Automation

Most businesses lose hours and customers to systems nobody designed.

A quote process that only exists in someone's head. Three tools that don't talk to each other. A form that never sends. I audit what a business already runs, find where the workflow actually breaks, and fix it — automation, integration, AI, or the customer-facing systems themselves.

Process

How an engagement runs.

01

Diagnose

Every enquiry channel is tested directly — site, forms, phone, booking — to find where it actually breaks down.

02

Verify

Nothing gets reported as broken until it's been reproduced firsthand. No assumptions, no guesses.

03

Build

Scoped to the actual failure point — a form, a booking flow, an automation. No unnecessary rebuild.

04

Go Live

Deployed and documented, ready to run. Handed off outright, or I stay on to keep it running — your call.

What I Build

It starts with an audit.

Most businesses don't need a rebuild. They need someone to find the three things quietly costing them a day a week.

SVC.01

Free Systems Audit

A call to review what you're already running: the tools, the handoffs, the spreadsheets nobody admits to. You get a written summary afterwards — where the workflow actually breaks, and what's worth fixing first.

  • Review of existing tools and processes
  • Written summary of findings
  • Prioritised list of what to fix
  • No charge, no obligation
SVC.02

Workflow Automation

The repetitive admin that eats hours — quoting, follow-ups, scheduling, data entry — wired to run itself instead of living in someone's head.

  • Invoices raised and records updated automatically
  • Details entered once instead of three times
  • Quotes, job sheets and signed paperwork generated and filed
  • Documents findable instead of buried in an inbox
SVC.03

Integration

The tools you already pay for, connected so they stop needing a human to copy things between them.

  • Payment processors wired into the flow
  • CRMs kept in sync without manual copying
  • Calendars and scheduling tools connected
  • Existing tools connected rather than replaced
SVC.04

Websites & Booking Systems

Built to actually convert — forms that submit, booking flows that confirm, tested before they ever reach a customer.

  • Real-time availability, not a callback request
  • Booking confirmations that actually send
  • Automated reminders before the appointment
  • Every form tested before it reaches a customer
SVC.05

Applied AI

Quote drafting, document handling, automated replies — deployed where it removes real hours, not as a novelty.

  • Quotes drafted from a photo and a description
  • Automated replies to routine enquiries
  • Document handling without manual sorting
SVC.06

Reporting & Visibility

Job tracking and dashboards that show what's in progress, what's stalled, and what's still unpaid — without anyone maintaining a spreadsheet to find out.

  • Live job tracking in one place
  • What's still outstanding or unpaid
  • Where work is stuck, and for how long
  • No spreadsheet to maintain by hand

Ways To Work

Two ways to work together.

Same build either way. The difference is who keeps it running afterwards.

TIER.01

Build & Handoff

One-time fee. Deployed to your own infrastructure. Full ownership, no licence, no lock-in. Best for businesses who want to run things themselves once it's built.

TIER.02

Managed

Ongoing fee. I host it, monitor it, and keep it current. Training available too, if your team wants to get hands-on with what's been built.

FAQ

Questions worth asking.

I already have a website — do I need a new one?

Usually not. Most businesses don't need a rebuild, they need the two or three things quietly costing them time fixed. If your site works and your quoting doesn't, I'll tell you that rather than sell you a redesign.

What does the free systems audit actually involve?

A call where you walk me through what you're running and where it causes friction. Afterwards I send a short written summary — what I'd fix, in what order, and roughly what it'd take. No charge and no obligation to go further.

How do I know you won't just tell me everything's broken?

Nothing gets reported as broken unless I've reproduced it myself. If I say a form doesn't send, it's because I submitted it and nothing arrived — not because I assumed it from a review or a screenshot.

What does it cost?

It depends entirely on what's actually wrong, which is what the audit establishes. You'll get a fixed price before any work starts — no hourly billing, no scope creeping past what we agreed.

What if I want to take it elsewhere later?

Then you take it. On Build & Handoff you own everything outright from day one. On Managed, there's no licence trapping you — if you want to move it or run it yourself, it goes with you.

I'm not sure what's actually wrong — is that a problem?

No, that's normal and it's the point of the audit. Most people know something's costing them time without being able to name it. Working that out is the job.
