Privacy Policy — Trickett Systems

Who this is

Trickett Systems is run by Aaron Trickett, a sole trader based in Doncaster, South Yorkshire, trading as Trickett Systems. I'm the "controller" of the personal data described here, which means I decide how it's used and I'm responsible for looking after it. Two ways I might have your details

Either you got in touch with me, or I got in touch with you. The sections below cover each one separately, because the details, the reasons and your options are slightly different.

If you contact me

When you use the enquiry form on this site, email me or call me, I collect whatever you give me: usually your name, your email address or phone number, and your message. I use it only to respond to you — to get back in touch about your enquiry or free walk-through. I don't add you to a mailing list or send marketing unless you separately ask me to.

The legal basis under UK GDPR is "legitimate interests" — the standard basis for responding to someone who has contacted a business directly.

If I contact you

I get in touch with local businesses I think I could help. To do that I keep a short record of each business and the people I might speak to there: the business name, sector and location; a contact's name and role; their business email address and phone number; a LinkedIn profile link where there is one; and notes of any conversations we've had.

I only use business contact details, and I find them in public places: the business's own website, public business directories and listings, Companies House, and LinkedIn. I don't buy contact lists.

The legal basis is "legitimate interests": introducing my services to businesses they might be useful to. I keep this proportionate — a first email and at most two short follow-ups, after which I stop unless you reply. Every message tells you how to say no.

Telling me to stop

You can object to me contacting you at any time, and I'll stop straight away — no reason needed. Reply "no thanks" to any email, tell me on the phone, or email aaron@trickettsystems.com. I'll delete your details, except for a minimal note (your name, business and email address or number) marked "do not contact", which I keep only so that I don't get in touch with you again by mistake.

If you're a client

If you become a client, I use your contact details and the information you share to carry out the work we've agreed. The legal basis is that it's needed for our contract.

Where the work involves your own customers' or staff's personal data, I handle it only on your instructions, as a "processor", and your own privacy notice applies to it. This is set out in my Terms of Engagement.

This website

This site doesn't use cookies, analytics, or tracking of any kind. Like any website, it is hosted by a provider (Netlify) whose servers keep standard technical logs, such as IP addresses, to deliver the site and keep it secure.

Who else sees it

I don't sell data to anyone, ever, and I don't share your details with anyone except the service providers I use to run the business, who handle it on my behalf. These are: Formspree, which delivers enquiry form messages to my inbox; Google Workspace, which provides my business email; HubSpot, where I keep my contact and sales records; Railway, which hosts my own internal records system; and Netlify, which hosts this site.

Some of these providers are based in, or store data in, the United States. Where personal data leaves the UK, it's protected by the safeguards UK law requires, such as the UK–US data bridge or approved contract terms. Ask me if you'd like the details.

How long I keep it

Enquiries: I keep your details as long as needed to respond and follow up if you'd like to go further. If nothing comes of it, I delete them within 12 months.

Businesses I've contacted: if we haven't been in touch for 12 months, I delete the record. A "do not contact" note is kept for as long as it's needed to respect your request.

Clients: I keep your details for as long as we work together, and then for six years afterwards, because tax and legal rules require business records to be kept.

Your rights

You have the right to ask what data I hold about you and get a copy, to have it corrected, to have it deleted, to limit how I use it, to object to how I use it, and in some cases to have it passed to you or someone else in a usable format. Just email aaron@trickettsystems.com. It's free, and I'll respond within one month.

If you're unhappy with how I've handled your data, you also have the right to complain to the Information Commissioner's Office (ico.org.uk). I'd appreciate the chance to put it right first, though.

Changes to this policy

If anything about how I handle data changes, I'll update this page and the date at the top.
